How it works

1/ Sign up for a Calbot account

After signing up, you will be asked to connect an online calendar. Calbot currently supports Google Calendar and Microsoft's Office 365 and Outlook.com.

Outlook.com calendars that haven't yet been migrated to the new Office 365 servers will not work with our service.


2/ ADD events to your calendar

The basics

Write or forward an email to add@calbot.me. Type a date and time in either the subject or body of the email if one isn't already included.

Calbot will scan the email and create a new event in your primary calendar. The email subject will be used as the event title, and the email body will be placed into the event description.

Calbot can recognize various date/time formats such as:

  • dates: 2/14, 4th of July, Dec 25
  • days: Sunday, next Fri , tomorrow
  • times: 8:30AM, noon, 6p

If more than one date/time is included, Calbot will take the first one it finds.

If an end time isn't specified, Calbot will create a one-hour event.

If a time isn't included, Calbot will create an all-day event.

Add to primary calendar

Multiple calendars

If you have more than one calendar (e.g. personal, work, kids), you can tell Calbot which one you want the event created in.

Just write or forward an email to add.calendarname@calbot.me, where calendarname is the name of the specific calendar (with spaces removed).

You can find a list of your connected calendar names on your Account page.

Reminders

You can add reminders by typing +remind anywhere in your email.

Alternatively you can use +popup or +email if you want just a notification or an email (but not both).

By default your reminders will be delivered 10 minutes before the start of the event. If you prefer a different time, simply append a duration like this:

  • +remind30 for minutes
  • +remind1h for hours
  • +remind2d for days
  • +remind3w for weeks

Location

Calbot will add a location to the event if a well-formatted address is found.

You can also add your own venue by typing @ before and [return] after the location (e.g. @The Trappist).

Attendees

Cc add@calbot.me when scheduling an event with someone. Calbot will add any (non-Calbot) email addresses found in the To: or Cc: fields to the guest/attendee list.

3/ LIST events from your calendar

The basics

Write an email to list@calbot.me. Specify a day or date, otherwise Calbot will assume you want today's schedule.

Calbot will return events from all owned and shared calendars for that particular day(s). Calbot recognizes date formats such as:

  • dates: 2/14, 4th of July, Dec 25
  • days: Sunday, next Fri, this weekend

If you want your schedule for the entire week, send the email to listweek@calbot.me.

If you want your schedule for the entire month, send the email to listmonth@calbot.me.

List all events

Multiple calendars

As with the add feature, you can specify from which calendar you want your schedule returned.

Just write an email to list.calendarname@calbot.me, where calendarname is the name of the specific calendar (with spaces removed).

This also works with listweek.calendarname@calbot.me and listmonth.calendarname@calbot.me.
